Sharing Excel spreadsheets as PDF ensures your data, formulas, charts, and formatting appear exactly as intended. Recipients do not need Excel installed, and your data cannot be accidentally modified. Here is how to convert Excel to PDF perfectly.
Why Save Excel as PDF?
Excel files can display differently depending on the version of Excel, screen resolution, and installed fonts. Converting to PDF freezes your spreadsheet layout so that columns, row heights, charts, and conditional formatting all look exactly as you designed them.
PDFs are also safer for sharing financial data. Unlike Excel files, PDFs cannot be edited without special software, which prevents accidental or intentional changes to your numbers. This is critical for invoices, reports, and financial statements.
Convert Online with PDF Alone
The fastest method is our free online Excel to PDF converter. Upload your .xlsx or .xls file, and the conversion happens instantly. Charts, tables, cell formatting, merged cells, and print areas are all preserved in the output PDF.
This works on any device with a web browser — no software needed. Files are automatically deleted after one hour.
Convert Using Microsoft Excel
Open your spreadsheet in Excel, go to File → Save As or Export → Create PDF/XPS. Before saving, click Options to choose which sheets to include (Active Sheet, Entire Workbook, or Selection).
Important tip: Set your Print Area before converting. Go to Page Layout → Print Area → Set Print Area. This controls exactly which cells appear in the PDF. Also check Page Layout → Orientation (Portrait/Landscape) and adjust scaling under Page Layout → Scale to Fit.
For multi-sheet workbooks, you can either convert each sheet separately or select "Entire Workbook" to include all sheets in a single PDF.
Formatting Tips for Clean PDF Output
Use Page Break Preview (View → Page Break Preview) to see exactly where pages will split. Drag the blue lines to adjust page breaks and avoid splitting tables mid-row.
Set column widths and row heights before converting. Content that overflows cells in Excel may be clipped in the PDF. Use Format → AutoFit Column Width to ensure all data is visible.
For headers and footers, go to Insert → Header & Footer to add page numbers, dates, or custom text that will appear on every page of the PDF.
